• Proper clothing is required based on the route and weather conditions. Flip-flops and sandals are not allowed.
• Participants must be able to ride a bike on unpaved roads and know how to use gears and brakes.
• Do not pass the guide during the tour, as the route is not marked.
• Respect the environment and follow basic etiquette with other participants.
• Minors under 18 must be accompanied by an adult (parent or guardian).
• The organizer reserves the right to modify the route or logistics, with or without notice, before or during the tour. Changes may be made due to weather conditions, participant skill levels, or other unforeseen circumstances.

The insurance policy covers residents of Italy, EEA countries and non-EEA countries, aged between 3 and 90 years. It applies to participants in activities organized by EXCELSIOR TOUR VIAGGI and VALDELSA OUTDOOR in Italy and Europe.

1. CUSTOMER CANCELLATION

If the customer cancels the bike tour before departure, a cancellation fee will be applied based on the number of days before the tour start date. The calculation does not include the cancellation day itself, and the request must be received on a business day before the scheduled bike tour. The remaining balance will be refunded via bank transfer or another agreed payment method within 14 days of the cancellation.

2. CUSTOMER REQUESTED CHANGES BEFORE TOUR DEPARTURE

Changes requested by the customer after the booking has been confirmed, do not obligate the organizer if they cannot be accommodated. Any change request incurs a fixed administrative fee of €50 per person, plus additional percentage fees based on how many days before departure the change is requested.

MODIFICATION FEES FOR SINGLE REQUESTS

NOTE: a reduction in the number of participants in a bike tour is considered a partial cancellation (see “CUSTOMER CANCELLATION” section). 

3. ORGANIZER-INITIATED CHANGES BEFORE TOUR DEPARTURE

The organizer reserves the right to unilaterally modify contract terms, except for the price, as long as the change is minor. Customers will be notified clearly and precisely through a durable medium, such as email.

No compensation will be provided if the organizer cancels the bike tour due to the failure to meet the required minimum number of participants, if applicable, or the inability to fulfill the contract due to unavoidable and extraordinary circumstances, provided that the cancellation is communicated to the customer without undue delay before the tour starts.

No compensation is due if the organizer proves that the lack of conformity is attributable to the customer, a third party unrelated to the provision of the travel services included in the bike tour contract where the issue was unpredictable or unavoidable, or unavoidable and extraordinary circumstances.

The bike tour cancellation insurance covers the amount at risk, protecting you from cancellation penalties (see “CUSTOMER CANCELLATION”). By purchasing this insurance, you can book your trip in advance with peace of mind. It provides coverage in case you need to cancel due to illness, injury, job loss, or damage to your home.

Even after months of planning, unexpected events can force you to cancel your trip and planned experiences.

While cancellation insurance can’t take away the disappointment of missing your vacation, it helps reduce the financial impact of cancellation.
